Docyt AI: Bluegrass Hotels cuts expense review time 50% across 6 properties
A 6-property hotel group halved the hours it spent reviewing expenses. Staff email or snap receipts, AI reads them, and the CEO approves on mobile.
- Task
- stop spending ~100 hours/month on paper receipts, spreadsheet entry, and statement matching
- Result
- 50% reduction in hours reviewing/reconciling expenses; CEO got weekends back (no more Sunday cross-checks); mobile approvals in minutes; continuous bank/PMS revenue reconciliation; prior hotel-partner accounting tool abandoned after 6 painful months
- Tools
- Docyt AI (live bank/card feeds, auto-reconcile, mobile receipt capture, PMS integrations, real-time reports)
- Setup
- connect bank/credit-card feeds → upload expenses via email/file/mobile snapshot → Docyt AI reconciles statements in real time → pull PMS revenue into continuous reconciliation → approve on mobile → generate bank-ready monthly reports
Step-by-step setup guide + copy-paste prompt
Step-by-step setup (paths from Docyt Help Center)
Step 1. Connect QuickBooks through the Docyt app in the QuickBooks App Store.
Step 2. Collect receipts. Go to Expense Management → Receipt Box → Receipt List. Click the blue + to drag in receipts, or click the blue email button to copy your unique Receipt Box address and share it with cardholders.
Step 3. Let AI read them. Docyt pulls the merchant, amount and date automatically.
Step 4. Approve. Review and approve receipts in Receipt Box (or on mobile). Approved receipts attach and sync to QuickBooks. Set approval rules, such as who approves and auto-approval below an amount (see "Approve Receipts" in the help center; menu names may differ slightly).
Step 5. Reconcile. Connect bank and card feeds so statements reconcile continuously, and pull your weekly report.
