I'm a solo [agency/consultant]. Write three short payment reminder emails: 5 days before due, on the due date, and 5 days overdue. > Cost: Paid. Paidnice Essentials is $69/month (monthly, no contract). First 20 actions free. SMS is $0.10 each.

Honest note: rule-based (dates and fees), not AI. The story is vendor-published and says "more timely payments" and hours saved without a number. Paidnice's own recommended ladder is 3 days before, due date, 5 days after; the −5/0/+5 pattern from the story is just a setting you can enter.

Prerequisites

  • Xero with clients as contacts.
  • Your payment terms and late-fee terms in your contracts.
  • A list of clients who should be exempt from fees (for example nonprofit or goodwill projects).

Step-by-step setup

Step 1. Connect Xero. Sign up at paidnice.com and connect Xero. The guided setup creates a Default Group with draft policies. Nothing sends until you approve.

Step 2. Create the reminder ladder. In the group, open Policies and add three reminder policies: one 5 days before the due date, one on the due date and one 5 days after. Edit each wording (friendly, factual, firm). Choose email (SMS costs extra). Reminders stop when the invoice is paid in Xero.

Step 3. Add late fees. Add new policy → Invoice Late Charge: fixed, percentage or interest; grace period; repeat or one-off; add to the invoice or create a new one.

Step 4. Make groups for exceptions. Create another group (for example "No fees") and assign the exempt clients. Groups can have fewer or no policies. Or follow the Xero contact groups you already use, and use tags for one-offs.

Step 5. Draft, test, activate. Keep all policies in Draft, send yourself a test, then set them Active. Keep interest charges in Draft for a manual review at first.

What success looks like

Clients pay closer to the due date, you stop writing chasers, and fees land only where you meant them to.

Common issues & fixes

  • A client was charged who shouldn't be: move them to the exempt group, then use Completed Actions → Remove late fee.
  • Reminders too pushy: soften wording or lengthen the grace period.

Optional: Maintenance

  • Each quarter, review who is in which group.
