Benefit: The practice management system marks the appointment complete, and Birdeye sends a combined survey + review request. 1–2★ reviews alert staff, and AI drafts the rest.
Step-by-step setup
Step 1. Connect your practice management system. Connect Dentrix or Eaglesoft to Birdeye during onboarding so completed appointments sync in as contacts.
Step 2. Create the automation. Go to Campaigns → Create automation → Survey (or Review). Set the trigger to Contact is added with source Integration. Send same-day.
Step 3. Turn on low-star alerts. Make sure 1–2★ reviews notify the office manager immediately.
Step 4. Set up AI replies. Go to Reviews AI → Agents → Response agents and choose the Review Response Agent. Use templates for consistency and AI generation for a personal tone. Choose Post after approval for anything that mentions treatment.
Step 5. Keep patient health information out of replies. Never confirm someone is a patient or mention a procedure in a public reply.
