> Cost: Freemium. Ramp Free covers cards and text reminders; custom project codes are listed under Ramp Plus, $15 per user/month plus a platform fee.
Honest note: mostly rule-based (required fields and reminders), with optional AI coding on Plus. These are Ramp-published numbers, and they don't fully agree with each other: the headline says $1M saved and the story $1.4M+ (mostly cashback and spend controls), with several different hours-saved figures. The clear, repeatable part is ending the spreadsheet merge.
Prerequisites
- Ramp connected to your accounting system.
- Your project list and charge-type (category) codes.
- Staff and subcontractors with mobile numbers in Ramp.
Step-by-step setup
Step 1. Create project and charge-type codes. Add project and charge-type as accounting fields in Ramp (custom fields are a Plus feature; check the exact settings on screen) and import your project list.
Step 2. Make them required. Set receipts, memo and the project code as required for card transactions in Ramp's expense policy or requirements settings (check the exact place on screen).
Step 3. Issue cards. Give employees and subcontractors cards with limits, and use Spend controls and restrictions → Add restrictions to block categories you don't allow.
Step 4. Turn on instant reminders. Make sure cardholders have the mobile app or SMS enabled. After a purchase, Ramp texts them; they reply with the receipt photo, and the link lets them fill in accounting fields. They can also use receipts@ramp.com, Slack (/ramp) or WhatsApp.
Step 5. Optional AI coding (Plus). Accounting → Needs review → Automation settings → Auto-code all eligible fields, so repeat purchases get coded automatically.
Step 6. Sync instead of merging. Coded transactions sync to accounting (nightly when auto-sync is on). Retire the per-employee spreadsheets.
Easier: let your AI do it
Ramp has an official MCP server, a secure plug that lets an AI chat like Claude or ChatGPT look at your Ramp spending with your permission.
- An admin turns it on and controls who can use it under Integrations → Ramp MCP → Manage access.
- In Claude, add Ramp from the connector directory (one click), or add a custom connector with
https://mcp.ramp.com/mcp. In ChatGPT (Plus or Pro), use the Ramp app. Sign in to Ramp when asked. - Try: "Which card transactions from last week are still missing receipts or codes, and who owns them?"
What success looks like
No more spreadsheets to collect. Finance sees every purchase with a project code within a day, and job costing is current.
Common issues & fixes
- No reminder text: SMS reminders apply to physical-card purchases. Check the cardholder's phone number and notification settings.
- Wrong project codes: keep the project list current and archive closed jobs.
Optional: Maintenance
- When a job starts or ends: add or archive its code the same day.
