Starter prompt from the guide (use it as a base):
I run a small agency that offers [SERVICE] to [AUDIENCE]. Write a 3-email opt-out-friendly outreach sequence for Close with {{lead.name}} tags, each under 100 words, with a clear unsubscribe line and no invented stats or guarantees. Then list 5 checks I should do before sending to a new list.
First, ask me up to 5 questions about my business and tools. Then give me a beginner step-by-step setup plan, plus copy-paste prompts/templates I can use. Plain English, and tell me if any step needs a tech helper.

> Cost: Paid. Growth (needed for Workflows) is $99/user/month annual, $109 monthly. Domains and mailboxes are extra, at your email provider.
Honest note: rule-based automation, not AI. This is an email-marketing agency (an unusual business that sends 15,000 outbound emails a week), and the figures (150+ hours a month, headcount, revenue and profit doubled, full adoption in two weeks) are the vendor's, with no baseline. Close does not document a 15-domain setup: buying domains, adding mailboxes and warming them up happens at your email provider, not in Close. Sending lots of cold email also carries deliverability and legal risk (consent, unsubscribe, local anti-spam rules); this guide doesn't cover bypassing any filter.
Prerequisites
- Close on Growth or above.
- Your own domains and a mailbox per sender, with SPF, DKIM and DMARC set up at your email provider (follow that provider's help; not covered here).
- A lead list you have a lawful basis to email, in a spreadsheet.
- Templates ready.
Step-by-step setup
Step 1. Import the leads. Profile (bottom-left) → Import Data, choose the file, map columns, set duplicate handling, start the import. Re-run monthly with fresh batches.
Step 2. Connect mailboxes. In Settings → Email connect each sending mailbox (Close allows up to 10 connected email accounts per user on Growth and Scale). In Settings → Send As enable Allow automated Workflows to send on your behalf for the users who own the mailboxes.
Step 3. Build the outreach Workflow. Click Workflows in the sidebar → new Workflow → trigger (manual, or a lead event) → Add Step → Email with a shared template → add delays between steps. Keep Run Once. Use the default Workflow Goals so replies stop the sequence.
Step 4. Spread the load. Use more than one workflow owner or mailbox so no single account blows past its provider's limits; Close also applies sending limits to protect your sender reputation, and email steps are delayed when you hit them. Use Blackout Dates (Settings → Blackout Dates) for holidays.
Step 5. Make Close the only place. Set the team rule: leads, calls and emails are logged in Close. Turn on Smart Views for each rep's daily list.
Step 6. Report from Close. Use the Workflow Report tab (Goal Met %, Responded by Step) and the Sent Email Report (Growth and Scale) for template performance.
What success looks like
Reps stop keeping private spreadsheets, outreach runs by schedule, and your weekly numbers come from Close.
Common issues & fixes
- Emails delayed: you've hit sending limits; add mailboxes or slow the cadence.
- Run errors: the owning user hasn't turned on Allow automated Workflows.
- High bounces or spam placement: stop and fix your list and authentication before sending more.
Easier: let your AI do it
Close lists a Claude and a ChatGPT connection on its pricing page. In Claude: Customize → Connectors, search Close, Connect, sign in. I didn't verify the permission scope, so review each action before it runs.
Optional: Maintenance
- Monthly: remove bounced addresses and check deliverability.
