Scan-gun bin and label workflow

Auto parts ecommerce wholesaler · work 4× faster after switching

CostPaid: Finale from about $499/mo on a multi-month termFinale's help page says plans typically start from $499/month, priced by users, integrations, order volume and add-ons. The mobile barcode scanner app needs the Gold plan or above per Finale's help, plus an Android scanner you buy yourself (Android OS 8.1 or newer). Third-party price pages report 12 to 36 month terms, not confirmed by Finale. The "4X faster" and "about 200% more accurate" figures are the ops manager's estimates.

I run a parts warehouse with about [NUMBER] bins. Create a bin naming scheme (aisle, rack, shelf) with leading zeros that fits Finale's rules (short, CAPS, unique) and generate 20 example names. > Cost: Paid. Finale plans typically start around $499/month. Scanning needs the Gold plan or higher and an Android scanner you buy separately.

Honest note: this is rule-based warehouse software, not AI. The "4X faster" and "about 200% more accurate" numbers are the operations manager's own estimates in a vendor-published story (the "200%" has no stated way of measuring). The warehouse is large (one site with up to 8,000 bin locations) and has several warehouses, so a smaller shop may only need part of this. The hardware cost is yours.

Prerequisites

  • A Finale subscription on a plan that includes the mobile barcode scanner (Gold or above, per Finale help).
  • An Android handheld (Android OS 8.1+), or a device with a camera that meets Finale's hardware list. Finale doesn't sell hardware.
  • A ShipStation account with your stores connected.
  • Your product list (SKU, description) and a stock count.

Step-by-step setup

Step 1. Build your bins. In Finale go to Application Settings → Facility. Create your Location (a warehouse), then add Sublocations under it. A sublocation is where stock actually lives (bin, shelf, rack, pallet spot). Names must be unique across locations; use short CAPS with leading zeros (A01, not A1). For thousands of bins use the bulk import (spreadsheet with Location and Sublocation columns).

Step 2. Import your products and stock. Use Finale's import to load products, then load opening stock by sublocation after a physical count (Finale's onboarding academy walks through this). Barcode-label the bins and products.

Step 3. Connect ShipStation. In ShipStation go to Account Settings → Account → API Settings and generate API keys. In Finale open Connections, connect ShipStation with the keys, then edit the Pull Sales to Finale task: map each ShipStation warehouse, choose the order-filter date (set it to the day after your stock count), pick whether to create invoices, and set Task Run Mode to Automatic last (it syncs new or changed orders about every five minutes).

Step 4. Choose how stock updates. Under the warehouse option pick Update stock levels using barcode scanner to pack shipments if staff pack with the scanner, so a ShipStation shipment only marks already-packed shipments as shipped.

Step 5. Pick by scanning. Make sure the sales order is Committed and print it with a barcode. On the scanner: Sync, then Pick → Basic Pick → Scan Every Item, scan the order barcode, then follow the walk path (alphanumeric order), scanning each bin and each product. Choose Sync One Operation to upload. In Finale refresh the order; it shows Fully Packed.

Step 6. Let office staff work on the PC. Phone orders and invoices are built on the PC in Finale, as in the case.

What success looks like

Staff don't walk the aisles with paper; picked orders flow to ShipStation; counts drift less because every move is scanned. Measure your own picks per hour before and after.

Common issues & fixes

  • Orders imported twice or very old orders appear: check the order filter date.
  • Stock not decremented: check the warehouse-to-sublocation mapping and the stock-update option.
  • Can't find the scanner option: your plan may be below Gold.

Optional: Maintenance

  • Weekly cycle counts of fast movers; review bin names when you add racking.
