Multi-location stock and reordering

Furniture retailer · avoids multi-month gaps in bestselling products

CostPaid: Cin7 Core from $349/moCin7's pricing page (checked 2026-10-15, USD, new customers) lists Core Standard $349/mo (5 users, 2 e-commerce/app integrations, 6,000 sales orders a year), Pro $599, Advanced $1,199. Lightspeed needs an "External integration" license. The Inventory Velocity report is in the base subscription; ForesightAI forecasting and Advanced Automations are listed as extras, price not published. The case gives no before/after numbers, so scored R1.

I run [NUMBER] showrooms selling [PRODUCT TYPE] with supplier lead times of about [WEEKS] weeks. Here is an export of my products with columns SKU, supplier, units sold last 90 days, stock on hand: [PASTE]. For each supplier, suggest a lead time and a safety-days value I can type into Cin7 Core's Suppliers tab, and list the 10 products with the least cover. Show your arithmetic. > Cost: Paid. Cin7 Core starts at $349/month. Lightspeed (and QuickBooks) are separate subscriptions you probably already pay.

Honest note: the reorder suggestion is rule-based math, not AI: sales per day times (safety days plus supplier lead days) minus stock minus what's on order. Cin7 also sells an AI forecasting add-on (ForesightAI / Smart reorder), which this guide doesn't depend on. The case is a vendor-published story with soft results ("gaps can cost tens of thousands", an owner's estimate, plus an average customer wait of about a week). Nothing is measured before and after. Also, the case says "Lightspeed POS" without the edition; the steps below follow Cin7's Lightspeed Retail X-Series article.

Prerequisites

  • Cin7 Core with the Lightspeed integration permission and an external-integration license.
  • Lightspeed account with admin access.
  • Products with unique SKUs in Lightspeed.
  • Each supplier's lead time in days.
  • Each showroom set up as a Location in Cin7 (Settings → Reference books → Locations & Bins).

Step-by-step setup

Step 1. Connect Lightspeed. In Cin7 Core go to Integrations → Lightspeed, click +, enter your Lightspeed shop name, click Connect to Lightspeed, then Allow Access.

Step 2. Set the sync options. On the Setup tab choose how orders are captured (created or completed), consolidation (No Consolidation keeps each sale separate), the customer for walk-in sales, and link each Lightspeed outlet to a Cin7 Location. Leave Update Stock Levels in Lightspeed off until your Cin7 quantities are correct, because it overwrites Lightspeed's numbers.

Step 3. Load products and sales. On the Catalog tab click Load Products → Load from Lightspeed. Then on Pending Sales click Load sales if needed, and Process to turn pending sales into Cin7 sales orders. New sales arrive on their own; it can take up to 10 minutes.

Step 4. Set reorder parameters per supplier. Inventory → Products → open a product → Suppliers tab. Fill Lead (days from PO to delivery), Safety (days of stock you want to keep), Reorder quantity and Minimum to order, then Save. Blank values make the report wrong.

Step 5. Review what to reorder. Run Reports → Sales reports → Inventory Velocity Report. It shows units sold per day, stock, days until you run out, and a recommended reorder quantity. Tick the SKUs and create purchase orders from it. For simple minimums instead, use Purchases → Reorder.

Step 6. Push stock back and sync accounting. Once quantities look right, turn on Update Stock Levels in Lightspeed. Connect QuickBooks under the accounting integration so sales and purchases post to your books.

Step 7. Find the slow movers. Use the same velocity report (or the stock reports) to list products with low sell rates, then decide on markdowns yourself.

What success looks like

Cin7 stock matches the floor after a few days. The velocity report names the products to reorder with quantities, and fewer items sit as "on order" with no matching PO.

Common issues & fixes

  • Report numbers look wrong: a supplier is missing lead, safety or reorder quantity.
  • Refund errors "Pending fulfillment": turn on Ignore restock for non-fulfilled sales in the Lightspeed settings.
  • Lightspeed overwritten: turn off Update Stock Levels in Lightspeed and fix Cin7 counts first.

Optional: Maintenance

  • Weekly: run the velocity report before placing orders.
  • After changing a supplier's lead time, update the product's Suppliers tab.
