Invoice2go Bulldog Contractors: on-site digital invoices + card pay; near-paperless field billing
A Texas septic contractor invoices from the job site, texts a pay link, and gets paid before leaving. He says it saves about five minutes a job and most of the paperwork.
- Task
- stop paper invoices and office callbacks for customer history after COVID pushed digital payments
- Result
- create/send invoices from job site via text/email with mobile pay link; payment-on-completion policy easier to enforce; customer work histories in-app folders; owner: "insane how much time it saves" (hours not quantified)
- Tools
- Invoice2go (mobile estimates/invoices, card/debit/bank/PayPal pay links, customer history)
- QuickBooks integration
- Setup
- install Invoice2go on phone → create invoice on-site → text/email pay link → require payment at completion → keep per-customer folders for history
- sync to QuickBooks for books
Step-by-step setup guide
Honest note: there's no AI here. It's a mobile invoicing app with online payment links. The win is getting paid at the truck instead of chasing paper later.
Prerequisites
- The Invoice2go app on your phone, and a plan that includes online payments.
- QuickBooks (optional), with matching tax and currency settings in both apps.
Step-by-step setup
Step 1. Turn on online payments. In the app, open Client payment options and enable a payment method (Invoice2go Money cards, Stripe or PayPal). Each invoice then shows a Pay now button.
Step 2. Invoice on site. Invoices → create the invoice → on the preview screen tap Send → Text message (or Other for WhatsApp, Messenger and similar). The text is pre-filled with a link to view and pay.
Step 3. Get paid before you leave. If the customer is standing there, they can scan the invoice's QR code and pay on their own phone. Make "payment on completion" your written policy.
Step 4. Sync to QuickBooks (one-time, on a computer). On the web: your Company name (top right) → Account & settings → Connect to QuickBooks → Connect to QuickBooks → log in → pick the revenue account, confirm taxes and currency → Complete. From then on, fully paid invoices sync automatically. Older ones don't.
Step 5. Keep job history per customer. Use one client record per customer so past work and invoices are one tap away when they call.
Copy-paste prompt
Use any AI chat to write your standard line items once:
Write 10 clear invoice line-item descriptions for a {{septic / cleaning}} contractor (e.g. pump-out 1,000 gal tank, riser install, jetting per hour). Each under 15 words, plain language a homeowner understands, with a typical unit (each / hour / gallon). Add a one-line payment-on-completion policy for the invoice footer.Sources
