Make me a 12-month cycle-count plan for a warehouse with [NUMBER] aisles/zones and about [NUMBER] products. Count fast-moving and high-value items more often. Give a week-by-week table (zone, product group, roughly how many items) that fits in about [NUMBER] hours a week, plus a 5-line staff checklist for running a count with a handheld scanner.

> Cost: Paid, sales-led. Finale Inventory Essentials from $499/month; Growth from $799/month (includes the Mobile Barcode WMS module). Contracts are usually 12, 24 or 36 months, onboarding is included, and there's no self-serve free trial; you book a demo.

Honest note: rule-based barcode scanning, not AI. This is a Finale-published story; the owner credits it with the company's most profitable year, which has many causes. Before you skip a year-end count, check with your accountant or auditor that ongoing cycle counts are acceptable for your books.

Prerequisites

  • Finale Inventory with barcode scanning (included on Growth, optional on Essentials).
  • Android 8.1+ scanners or phones with the Finale scanner app.
  • Case (carton) barcodes from your suppliers, or labels you print, and unit barcodes.

Step-by-step setup

Step 1. Teach Finale your cases. Set up each product's case and unit barcodes with your onboarding contact. In the scanner's Settings, set #27 Barcode Sets CS/EA to Yes and #29 Convert to Eaches to Yes, so one case scan counts as all the units in it.

Step 2. Receive imports by scanning. On the scanner tap Sync → Receive, scan the PO's Order ID, scan the location, then scan each case barcode, and tap Sync. Print PO barcodes from the PO's Action menu → Print Purchase Order with Barcodes.

Step 3. Pick, pack and ship by scanner. Use the scanner app to pick and pack orders so stock moves as you ship.

Step 4. Run cycle counts through the year. Sync first, then start a Stock Take on the scanner for one area or shelf. In scanner Settings, keep TAK 19 Write Zeros = No for a normal cycle count (items you don't scan stay unchanged). Use Yes only for a full audit of a location. Sync when done.

Step 5. Turn on automatic ordering and alerts. Set reorder points in each product's Reordering group so low stock appears on the reorder list.

What success looks like

Counts match the shelves, receiving a container takes a fraction of the time, and the business closes the year without an all-hands stock count.

Common issues & fixes

  • One case scanned as one unit: settings #27 and #29 aren't on, or the case barcode isn't linked to the product.
  • A cycle count zeroed items: TAK 19 Write Zeros was set to Yes.
  • Count differences: sync before and after each Stock Take.

Optional: Maintenance

  • Weekly or monthly: count a different area so the whole warehouse is covered in a year.
