> Cost: Paid, sales-led. Finale Inventory Essentials from $499/month; Growth from $799/month (includes the Mobile Barcode WMS module). Contracts are usually 12, 24 or 36 months, onboarding is included, and there's no self-serve free trial; you book a demo.
Honest note: rule-based (min/max reorder formulas and barcode scanning), not AI. This Finale-published story is older (about 2014) and has no measured figures beyond "seconds", "under an hour" and "near zero". The method is standard and well documented, so it's still worth copying.
Prerequisites
- Finale Inventory, with barcode scanning (included on Growth, optional on Essentials).
- An Android 8.1+ scanner or phone with the Finale scanner app.
- Barcodes on products (or labels you print from Finale).
Step-by-step setup
Step 1. Set min and max for each product. Open a product and find the Reordering group. Enter Std reorder point (the minimum), Std reorder point max (the maximum), and Std reorder in qty of (for example the factory's carton size). Choose the min/max method (or Sales Velocity if you prefer sales-based levels). You can set them per location.
Step 2. Order from the reorder list. Finale suggests what to buy to get each product back to its maximum. Create the factory PO from those suggestions and commit it.
Step 3. Print barcodes for receiving. On the PO use Action menu → Print Purchase Order with Barcodes, or on a shipment Action menu → Print Receiving Labels. Bin labels are under Reports > Labels > Other Labels.
Step 4. Receive by scanning. On the scanner tap Sync → Receive, scan the PO's Order ID, scan the location, scan each item, then tap Sync. Only committed POs that are not (or only partly) received download to the scanner.
Step 5. Scan out defectives. Record defective units separately when receiving or straight after (ask your onboarding contact for the best way in your setup) so factory returns are tracked.
Step 6. Connect ShipStation and QuickBooks if you use them. ShipStation: add your API key and secret, then set Pull Sales to Finale to Automatic. QuickBooks: follow Finale's go-live checklist first.
What success looks like
Reordering is a quick review of suggestions, deliveries are checked in under an hour, and on-screen stock matches the shelf.
Common issues & fixes
- Scanner says "Order ID not found": the PO isn't committed, is already fully received, or the scanner hasn't synced.
- Reorder quantities look odd: check the Std reorder in qty of rounding and the max level.
Optional: Maintenance
- Each season: review min and max levels for best-sellers.
