> Cost: Paid. QuickBooks Online from $38/month; Bill Pay Basic comes with it, Premium is $15/month. Free standard ACH, fees for faster delivery.
Honest note: Rules plus AI-assisted bill reading. Uploading a bill pre-fills it automatically (Intuit calls this AI); bank rules are plain if/then rules. The time savings are the owner's statements in an Intuit-published profile for a very high-volume shop, so a smaller business will save less.
Prerequisites
- A QuickBooks Online account with your bank connected.
- Vendors set up (email, zip code, state, and bank details for ACH).
- Permission to add bills and make payments.
Step-by-step setup
Step 1. Get bills in without typing. Go to All apps → Expenses & Bills → Bills. Open the Add bill ▼ menu, choose Upload from computer, drag and drop your PDFs or photos (PDF, JPEG, JPG, GIF, PNG), then review the pre-filled bill and category. Or give vendors the unique bills email address shown on that page, or take a photo of a paper bill and upload it. Uploaded bills land in For review.
Step 2. Add banking rules. Go to All apps → Accounting → Rules → New rule. Name it, choose Money in or Money out and the account, set up to five conditions (Description, Bank text or Amount), choose transaction type, category and payee, and Save. Drag to reorder (only one rule applies per transaction). Start with simple repeats; turn on Auto-post only for predictable ones.
Step 3. Pay in a batch. On Bills, open Unpaid (or For Review), tick the bills, click Schedule payment, pick bank account, ACH or mailed check, withdrawal date and speed, Continue, then Schedule Payment. For fixed bills use the Recurring tab and Turn autopay on. Bill Pay matches the payment when it clears.
What success looks like
Bills show pre-filled, rules tag transactions with a RULE badge, and paid bills match automatically. Time one normal bill run before and after.
Common issues & fixes
- Bill is not in Unpaid: check the For review tab.
- Rule not applied: you may have used Bank text when you meant Description (or the reverse); use Show full bank description in Bank transactions settings.
- Payment will not schedule: the vendor needs email, zip, state and bank details.
- Too many bills: Basic caps a batch at 20.
Optional: Maintenance
- Weekly: clear For review, then schedule the week's payments.
- Quarterly: delete or reorder rules.
