In ActiveCampaign: (1) create the tags "lead-course-enquiry" and "bought-level-1"; (2) list my open deals and the stage each is in; (3) list the contacts who got the course-enquiry email but did not click. Don't send or schedule any campaign or email. Report what you changed.

Honest note: rules automation (forms, tags, timed emails, deals), not AI. The numbers come from a case study written by the agency that built it, listed on ActiveCampaign's site, and the page does not publish the funnel steps. The steps below are the closest owner-doable rebuild using documented ActiveCampaign features: expect to adapt the email content and timing to your own courses. Expect a few hours if you've never used the tool.
Prerequisites
- An ActiveCampaign account on Plus or higher (Starter limits automations to 5 actions and can't do date-based triggers or historical sync). Contact count sets the price.
- A WordPress site with WooCommerce 3.0+ that sells your courses or workshops.
- Pipelines enhanced CRM add-on if you want deals created automatically.
- Admin access to WordPress and ActiveCampaign.
Step-by-step setup
Step 1. Connect WooCommerce. In ActiveCampaign click Settings → Integrations → Add an Integration → WooCommerce, enter your store's root URL (not /shop), click Connect, authorize in WooCommerce, then Done. In WordPress go to Plugins → Add New, search ActiveCampaign for WooCommerce, install and Activate. Open the plugin's Connection tab, paste your ActiveCampaign API URL and Key (ActiveCampaign Settings (gear) → Developer → API Access), and click Update Settings. In Store Settings choose the abandoned-cart delay and the opt-in checkbox text, then Update Settings. On Plus or higher, use Historical Sync → Start Historical Sync to bring in past customers. The sync is one-way, from WooCommerce to ActiveCampaign.
Step 2. Make the enquiry form. Go to Website → Forms → Start from scratch instead, name it, pick a style, and choose the actions Subscribe to a list, Add a tag (for example "lead-course-enquiry") and Add to a deal if you have the CRM add-on. Add fields (name, email, phone, course of interest), then publish with Integrate (embed code, link or WordPress).
Step 3. Build the lead-to-sales-call automation. Click Automations → Create an automation → Start from Scratch → Add a start trigger → Submits a form, pick your form and keep Runs once. Add actions with the + nodes: Sending → Send an email (instant reply with course details and a booking link), a Workflow → Wait (for example 2 days), then a Workflow → If/else on Has clicked on a link. Clickers go to CRM → Add a Deal (set title, value, pipeline, stage "Call booked/Contacted", owner) and a Add a tag. Non-clickers get one reminder email. Keep each automation short; the help page recommends several small automations over one giant one.
Step 4. Create the pipeline for your sales team. Click Deals in the left menu, pick or create a pipeline (for example New lead → Contacted → Call done → Enrolled), and have your sales person work deals there. Moving a deal can start other automations (Deal stage changes, a trigger from the CRM add-on).
Step 5. Segment and upsell buyers. Create an automation with the trigger Makes a purchase (pick your WooCommerce store and, on a repeat product, Runs multiple times). Add Add a tag by course (for example "bought-level-1"), wait a few days, then Send an email suggesting the next course or accessory. The trigger fires when an order reaches Processing or Completed.
Step 6. Test end to end. Submit your own form with a test email, place a low-value test order, and check Contacts for tags and the Deals pipeline.
Easier: let your AI do it
ActiveCampaign has an official connector for Claude and ChatGPT (an MCP server). It can create contacts, tags and deals and add or remove people from automations, but the connector can also create and send campaigns, so tell it "draft only, never send". Connecting needs an ActiveCampaign account admin (and your Claude admin's approval if it's a work account).
Step 1. In ActiveCampaign click Settings (gear) → Developer, and copy the Remote MCP URL (it only appears with ActiveCampaign branding turned on).
Step 2. In Claude open Settings → Customize → Connectors, search ActiveCampaign, click Connect to Claude, paste the URL into Server URL, click Connect, then sign in and approve.
Step 3. Start a chat and use the connector prompt below.
Step 4. Check results inside ActiveCampaign. Building the automation canvas is still done in the ActiveCampaign builder (it also has its own AI prompt bar at Automations).
Connector prompt
In ActiveCampaign: (1) create the tags "lead-course-enquiry" and "bought-level-1"; (2) list my open deals and the stage each is in; (3) list the contacts who got the course-enquiry email but did not click. Don't send or schedule any campaign or email. Report what you changed. What success looks like
A new lead fills your form and gets an instant email, your sales person sees a deal with the contact attached, and course buyers get an upsell without anyone remembering to send it. Judge the result on your own numbers: leads per month, calls booked, enrollments (the agency reports +30% leads and +25% revenue; yours will differ).
Common issues & fixes
- No deals appear: your plan lacks the Pipelines enhanced CRM add-on, or the form has no Add to a deal action.
- Past orders don't trigger automations: historical sync doesn't fire Makes a purchase and isn't on Starter.
- WooCommerce contacts aren't on a list: accounts created on or after Jan 8, 2024 add contacts who ticked "Accepts Marketing" to the Master Contact List by default; if you renamed or deleted it, add them with an automation.
- Connection errors: in ActiveCampaign go to Settings → Integrations → Manage → Reconnect, or in the plugin Settings → Advanced Settings → Repair Connection ID.
Optional: Maintenance
- Each quarter, review which email in the sequence gets clicks and rewrite the weakest.
- Clean the pipeline monthly: close stale deals.
Copy-paste prompt
I run a [Pilates / yoga / fitness] training school selling [COURSES]. Write a 4-email follow-up sequence for people who fill in our "course enquiry" form:
Email 1 (instant): thank them, summarise the course in 3 bullets, link [BOOKING LINK] to book a call.
Email 2 (2 days later, for people who did not click): one student outcome and the same link.
Email 3 (5 days later): answer the 3 most common objections (price, time, prerequisites) in short bullets.
Email 4 (8 days later): friendly last note with the next start date [DATE].
Plus one upsell email for buyers of [COURSE A] suggesting [COURSE B].
Under 120 words each, plain text, no hype, no invented testimonials or statistics. Give subject lines.Sources
