Starter prompt from the guide (use it as a base):
I run a podiatry / specialty clinic. We send a 3-step Grade.us review drip (email + optional SMS) with funnel link [FUNNEL LINK].

Write three short messages (day 0, day 2, day 5):
- Under 90 words for email; under 140 chars for SMS versions
- Placeholders [FIRST NAME]
- No clinical details, no incentives that violate review-site rules
Tone: grateful and brief.

Step-by-step setup guide + copy-paste prompt

Honest note: rules automation (drip + funnel), not AI. The write-up is from the agency that ran it (first-hand on the vendor blog). HIPAA: complete BAAs for the agency and the practice before uploading patient lists. Do not invent clinical content in messages.

Prerequisites

  • Grade.us (often white-label through an agency) with Funnel and Review Requests enabled.
  • Signed HIPAA BAAs (agency + practice + Grade.us as required).
  • Google/Facebook/Yelp/Healthgrades listings linked in the Funnel.
  • A twice-weekly front-desk habit to export recent patients (email and/or mobile).

Step-by-step setup

Step 1. Install the patient-reviews page. Finish Add a Business, brand the Funnel landing page, and link Google plus any other sites you want. Optionally embed the funnel or a reviews page on your website.

Step 2. Configure the 3-message drip. Go to Review Requests → Email Settings (and SMS settings). Set sender identity, reply-to, and deactivation rules (End Campaign on open/click/clickthrough as you prefer). Build about three emails/SMS over roughly a week—Grade.us notes many customers convert on message 2 or 3. Every message must include the funnel link.

Step 3. Complete BAAs and permissions. Do not upload patients until BAAs are signed. Limit fields to name, email, phone, and visit date—no diagnoses.

Step 4. Front desk bulk-upload on a schedule. Twice a week (the case used Tue/Thu afternoons) export recent visits and upload under Review Requests → Campaigns / Recipients. Use In-Queue → Auto Activate Pending Recipients Daily if you want a daily send cap instead of blasting everyone at once.

Step 5. Turn on the weekly progress report. Enable Grade.us's automated progress report to the practice owner/manager so you see asks, opens, and new reviews without logging in daily.

Step 6. Monitor multi-ask conversion. In Email/Text Activity and Funnel Activity, confirm that reminders—not only the first ask—drive reviews (the case: only 5 of 54 reviewers acted after one ask).

Easier: let your AI do it

No official Grade.us AI connector. Use the prompt for drip copy, then paste into Review Requests.

What success looks like

Patients get a polite sequence, not a single blast. Rating and review count climb over months, not days. The weekly report replaces manual spreadsheet tracking.

Common issues & fixes

  • Spam complaints: lengthen gaps, enable end-on-click, and keep daily auto-activate low.
  • SMS silent: confirm SMS settings and consent language.
  • Duplicates: Complete/Inactive recipients are blocked for a cooling period (default often 180 days)—adjust only with care.

Optional: Maintenance

  • Quarterly: refresh drip copy and check listing links.
  • Keep the Tue/Thu upload on the front-desk checklist.
