Step-by-step setup guide
Why it works: Most lost jobs are calls and texts nobody answered in time. The AI Employee replies within seconds using your own FAQs and pricing, and hands off to a person when it gets stuck.
Prerequisites
- A Podium account with the AI Employee add-on (sold through Podium sales, so expect a demo and a contract).
- You must be the Account Owner to see the AI Employee settings.
- A one-page fact sheet: services, service area, hours, pricing rules, booking link, emergency policy.
Step-by-step setup
Step 1. Open the AI settings. In Podium go to More (left sidebar) → Settings → AI Employee. The options you see depend on your industry. Some advanced options are "backend" settings that Podium Support switches on for you. Ask your rep which ones apply to home services.
Step 2. Feed it your facts. Fill in instant answers / FAQs, your appointment link and payment methods. Podium's guidance is to be as detailed and specific as possible.
Step 3. Decide when a human takes over. Set escalation so urgent jobs, complaints and price negotiations go to the office manager. Escalated conversations show an "AI needs help" indicator in the inbox.
Step 4. Test before going live. Text your own business line with the 10 questions customers ask most. Fix any wrong answer: hover Sources on an AI message to see which FAQ it used and edit that FAQ directly.
Step 5. Coach it weekly. Read 10 AI conversations each week and correct it in plain language. Track leads captured and booked jobs against last month.
