> Cost: Paid, sales-led. Finale Inventory Essentials from $499/month; Growth from $799/month (includes the Mobile Barcode WMS module). Contracts are usually 12, 24 or 36 months, onboarding is included, and there's no self-serve free trial; you book a demo.
Honest note: rule-based purchasing, not AI. The $50,000 figure is from a Finale-published story from around 2021, and the business has nearly a million products, far more than a typical small shop. The idea scales down well: agreed prices on every PO, and every bill checked against its PO. Your savings depend on how often suppliers get it wrong.
Prerequisites
- Finale Inventory (with onboarding support).
- Each supplier's agreed price per product (spreadsheets are fine to start).
- Someone who receives and checks supplier bills.
Step-by-step setup
Step 1. Turn on per-supplier prices. Go to Application Settings > Product > Buying prices & reordering and enable Per Supplier Price.
Step 2. Load agreed prices. On each product's Purchasing section, set Supplier 1 and the agreed price. For many products, ask your onboarding contact to import them from your spreadsheet.
Step 3. Turn on bills. Click the gear icon → Application Settings > Purchasing and tick Enable bills screen.
Step 4. Raise every order as a PO. Create all supplier orders in Finale so they carry the agreed price and a grand total.
Step 5. Check each bill against its PO. When the supplier's bill arrives, open the PO, click Add bill and enter the bill. Compare it with the PO grand total. If it doesn't match, query the supplier before you Post payment.
Step 6. Let support see live stock. Give your customer service team read access so they can answer "is it in stock?" accurately.
What success looks like
Overcharges are caught before you pay, supplier price changes are spotted straight away, and nobody hunts through spreadsheets for the agreed price.
Common issues & fixes
- Price on the PO is wrong: the product has no Supplier 1 price, or per-supplier prices aren't enabled.
- No "Add bill" button: the bills screen isn't enabled under Purchasing settings.
Optional: Maintenance
- When a supplier sends a new price list: update it in Finale first.
- Monthly: list the bills that didn't match and chase credits.
