DEV.to solopreneur Zapier stack: Calendly→Notion onboarding saves ~2 hrs/client
A solopreneur stopped missing steps in a 12-step client onboarding — one Calendly booking now creates the Notion record, invoice tracker row, Slack ping, and prep email, saving about 2 hours per client.
- Task
- stop missing steps in 12-step client onboarding (contract, deposit, kickoff doc, schedule, CRM)
- Result
- Calendly discovery-booking Zap creates Notion client record + invoice-tracker row + Slack ping + prep-note email; ~45 min to build; saves ~2 hours per client (~10 hrs/mo at 5 clients)
- Tools
- Zapier
- Calendly
- Notion
- Slack
- Google Drive folder templates
- Setup
- document manual onboarding steps → Zap on new Calendly booking → create Notion client + invoice row → Slack notify → email prep note → iterate one trigger at a time
- don't automate everything in one weekend
Step-by-step setup guide + copy-paste prompt
Honest note: This is Zapier rules automation (not generative AI). Still the boring glue that prevents dropped handoffs.
Prerequisites
- Calendly event for discovery calls.
- Notion database for clients + a simple invoice tracker DB/table.
- Slack workspace; Gmail or email app in Zapier.
- Zapier account (Free = 100 tasks/mo, two-step Zaps only — this flow needs Pro or multiple Zaps).
Step-by-step setup
Step 1. Document the manual steps you do today (contract, deposit, kickoff doc, schedule, CRM). Automate one trigger first.
Step 2. Create the Zap. Zapier → + Create → Zaps → Trigger: Calendly → Invitee Created → Continue → Sign in → Test trigger.
Step 3. Add actions. Click + → Notion → Create Data Source Item (client DB) → map name/email/date. + again → Notion invoice-tracker row. + → Slack → Send Channel Message. + → Gmail → Send Email (prep note to yourself).
Step 4. Test end-to-end with a fake Calendly booking, then Publish.
Step 5. Iterate. Don't automate the whole weekend — add the next step after this zap is trusted for a week.
Easier: let your AI do it
In Claude: Customize → Connectors → Zapier → connect. Ask Claude to draft the Zap mapping; you still click Publish in Zapier. Each Zapier MCP tool call ≈ 2 tasks.
Copy-paste prompt

Design the smallest Zapier zap from Calendly Invitee Created → Notion + Slack + Gmail.
