Reddit ERA: service business AI automation — invoice days-to-pay 34→19; 10–12 hrs/week saved

A service-business owner automated invoice reminders at 7 and 14 days, flagged 30-day invoices for a personal call, and average days-to-pay fell from 34 to 19.

Task
stop personally doing invoice reminders, inbox triage, scheduling confirmations, and other boring admin
Result
via search-index excerpts — invoice payment time fell from ~34 to ~19 days after automated reminders; ~10–12 hours/week saved across follow-up, inbox, scheduling, and invoices (owner keeps human review for money/customer exceptions)
Tools
  • mix of AI automation + reminder workflows (exact stack named in thread; post via search excerpt)
Setup
  1. automate invoice reminder cadence → automate scheduling confirmations → triage inbox with AI drafts under human approval → keep exceptions (disputes, sensitive replies) for humans
Step-by-step setup guide + copy-paste prompt

What the owner did: reminders at 7 days past due (friendly) and 14 days (firmer). At 30 days the invoice is flagged for the owner to handle personally. Each tone was written to sound like a person. The post doesn't name the tools, so this guide shows the closest version you can set up yourself.

Honest note: the reminder schedule is rule-based. AI is used for wording and for the drafts you review.

Prerequisites

  • QuickBooks Online, with invoices emailed from QuickBooks. Automatic reminders only go out for invoices sent from QuickBooks.
  • Optional: a free Claude account with the Gmail connector, for inbox triage.

Step-by-step setup

Step 1. Turn on automatic reminders. In QuickBooks Online: Settings ⚙ → Account and settings → Sales tab → in Reminders select Edit ✎ → turn on Automatic invoice reminders.

Step 2. Copy the owner's schedule. Turn on Reminder 1 and set it to 7 days after the due date. Set Reminder 2 to 14 days after. You can add a third reminder (up to 90 days), but the owner handled day 30 personally.

Step 3. Make each reminder sound human. For each reminder, edit the Subject (keep the word "reminder"), tick Use email greeting, and paste your own Email message. Use the prompt below. Select Save, then Done.

Step 4. Review AI-drafted nudges. If your QuickBooks has Intuit Assist, it also drafts personalised reminders for overdue invoices from the Business Feed. Read and edit each one before sending.

Step 5. Flag 30-day invoices for yourself. Each Monday, run the A/R aging report and call everyone at 30+ days. Keep disputes and sensitive customers human.

Step 6. Triage the inbox with drafts only (optional). In Claude, connect Gmail: Customize → Connectors → Gmail → Connect. Each morning, ask it to sort unread mail into urgent / customer / admin and draft replies for you to approve. Claude asks for your approval before each action.

Copy-paste prompt

Write two invoice reminder emails for {{business}}, a {{service}} company.
Reminder 1 (7 days overdue): warm and assumes it slipped through the cracks, under 90 words.
Reminder 2 (14 days overdue): polite but firmer, mentions the amount and asks for a payment date, under 100 words.
Use the placeholders [Customer], [Invoice No.], [Amount], [Due date]. Sound like a real owner, not a template. No threats.
