Post-job SMS review sequence

HVAC contractor · monthly new reviews from under 5 to 20+

Costn8n or Zapier + Twilio textsBuilder-agency case study with an unnamed HVAC client (22 employees, 40–50 jobs a month): fewer than 5 → 20+ Google reviews a month within 90 days, 35% response. The page calls it "AI-powered", but the described flow is rule-based (trigger, text, one follow-up). Needs n8n skills, or use the no-code Zapier route in the related guide.

Step-by-step setup guide + copy-paste prompt

Honest note: the sequence is rule-based automation (trigger, text, follow-up, alert). The agency's page says "AI-powered", but nothing in the description is generative AI. The client is unnamed and the numbers are the builder's.

Prerequisites

  • A scheduling or job system that can send a "job completed" event (webhook) or that Zapier/n8n can poll.
  • n8n (cloud or self-hosted) and a Twilio account with a texting number.
  • Your Google Business Profile review link, and customers' consent to text.

Step-by-step setup

Step 1. Trigger on job complete. Create an n8n workflow that starts from a Webhook node. Point your job system's "job completed" event at its URL. If your system has no webhook, use a Schedule Trigger that checks for newly completed jobs. Save and publish the workflow, since schedules and production webhooks only run once published.

Step 2. Send the first text. Add a Twilio Send SMS step (credentials: Account SID and Auth Token). Personalise it: customer first name, the job type and your direct Google review link. Include opt-out wording ("Reply STOP to opt out").

Step 3. Add one follow-up at 48 hours. Add a Wait node of 48 hours, check whether a review arrived (or whether the customer replied), then send one differently-worded reminder. Stop there.

Step 4. Watch for bad reviews. Pull new reviews through Google's review tools and alert the owner by email or text when one is under 4 stars, so you can reply the same day. Replying stays manual.

Step 5. No-code route. Without n8n, build the same in Zapier: trigger on job completion → Delay by Zapier → Twilio: Send SMS (see the related review-text guide).

Step 6. Keep it fair. Send to every customer without an open dispute. Don't screen for happy customers or offer rewards.
