> Cost: Paid. ActiveCampaign starts at $15 a month (Starter, billed annually, 1,000 contacts); most of what this guide uses needs Plus ($49) or higher, and texting is a paid add-on. 14-day free trial, no card.
Honest note: Rules, not AI. A vendor customer page, undated and from ActiveCampaign's earlier "customer experience automation" era, so tools have changed. The measured result is good (10% to 90% of emailed candidates showing up for interviews, and contractors up 5x in a year) but self-reported, and the page does not say what else changed. The page lists Calendly, Asana, Twilio and Xero among integrations without saying how they were used, so the interview scheduling and onboarding steps below are my reasonable setup, not the owner's exact build. It is a business that engages independent contractors; check your local rules on contractor classification and applicant data.
Prerequisites
- An ActiveCampaign account (Plus or higher for pipelines and landing pages).
- A short website application form, role videos hosted somewhere with a link (YouTube or similar), and a scheduling link.
- A written onboarding checklist and training materials.
Step-by-step setup
Step 1. Application form into a pipeline. Under Deals, create a pipeline such as *Contractor recruitment* with stages *New applicant*, *Interested*, *Interview booked*, *Interviewed*, *Hired*, *Onboarding* (ActiveCampaign help: create and edit a stage). Add your application form from the Website area, and apply a tag such as *Applicant*.
Step 2. Role-video email series. Automations (left menu) → Create an automation → Start from scratch → Add a start trigger → Submits a form (the application). Send a thank-you, then emails that describe the role and link to short videos, with Wait steps between. Each video link is a separate link so clicks show which ones they watched (the page tracked videos watched and links clicked). Add a goal-style wait *Until specific conditions are met* so people who book an interview skip the remaining pushes.
Step 3. Book the interview. Put your scheduling link in the emails and ask applicants to pick a time. Add a reminder email the day before and the morning of, using a Wait until a specific day and time per interview, or send it manually from your calendar. The page names Calendly but not the steps.
Step 4. Onboarding flow. When you tag someone *Hired*, a second automation (Tag is added) emails paperwork, training materials and reminders for missing items, and moves the deal to *Onboarding*.
Easier: let your AI do it. ActiveCampaign publishes a remote MCP address (Settings (gear) → Developer → Remote MCP URL) that you can add to Claude as a connector (Customize → Connectors). I did not verify which actions it can take, so keep approval on for every write. ActiveCampaign's own Active Intelligence (icon above the search bar, or the ActiveCampaign logo for the home page) can also build a first draft of an automation from a typed prompt, which you then review and click Activate.
What success looks like
A test applicant appears in the *New applicant* column, receives the first video email, and a click on a video link is visible on their record. Count interview show-ups for the next 20 applicants and compare with your old rate.
Common issues & fixes
- Applicants do not open emails: keep subjects specific and short.
- Everyone skips interviews anyway: add the day-before reminder and a text, only to people who opted in.
- Pipeline gets cluttered: archive hired and rejected cards weekly.
Optional: Maintenance
- Weekly: move stalled applicants and send a nudge.
- Quarterly: update the role videos.
