Starter prompt from the guide (use it as a base):
Write (1) a short sign for the front door of an animal clinic asking clients to text [OFFICE NUMBER] when they arrive and stay in the car, and (2) a friendly text we send when we bring the pet in and when we are ready for pickup. Keep each under 200 characters.
First, ask me up to 5 questions about my business and tools. Then give me a beginner step-by-step setup plan, plus copy-paste prompts/templates I can use. Plain English, and tell me if any step needs a tech helper.

> Cost: Paid. Weave starts at $199 a month (Base). Reminders, forms and recall sit in the Coordinate bundle ($149) and reviews in the Attract bundle ($149); some items are quoted separately. There is no free trial of the full platform.
Honest note: Rules, not AI. The clinic ran curbside drop-off during COVID with four phone lines. "20+ missed calls a day to nearly zero" and "500 team chats a day" are the clinic's own counts, with no start date. The $300 a month saved came from cancelling doctors' cell plans, and it is not netted against the Weave bill.
Prerequisites
- A Weave account with your phone number and practice software connected (Weave onboards you).
- Weave admin access (some pages need Super Admin, Phones Manager or Payment Admin).
- Staff phones or computers where the Weave app can be installed (an admin must grant mobile-app permission).
Step-by-step setup
Step 1. Move routine client contact to text. In the Weave app tap Messages, tap +, enter the client's name or number, choose the number, type the message, and Send (you can add images and templates, and pick an office number in the From dropdown). Use it for arrival notices, status updates and photos.
Step 2. Create Team Chat groups. Once staff logins exist, everyone is in Team Chat automatically. In the new app click the Team Chat icon in the right navigation, click + next to Channels, name the group (for example one per doctor-and-technician team plus the front office), add members and send a message. On mobile: Team Chat → New Message → Create Group Chat → add people → Send.
Step 3. Let doctors text after hours from the office number. Download the Weave mobile app from the App Store or Google Play (an admin grants permission; sign in with your Weave login) so texts and calls go through the office number, not a personal cell. Set an after-hours reply in Text Connect Settings → Edit Auto-Response Templates → After Hours Template, and use Settings → Phone → Override for after-hours call forwarding or voicemail.
Step 4. Check whether you can drop other plans. Only cancel doctors' separate cell plans after you confirm the app works for after-hours on-call needs.
What success looks like
A client replies to a text from the office number and the right team sees it in Team Chat; staff can answer after hours without giving out personal numbers. Count missed calls per day for two weeks before and after.
Common issues & fixes
- Staff cannot sign in to mobile: an admin has to grant mobile-app permission.
- Too many groups: start with one per team and one all-staff group.
- Clients still call: put "text us at this number" on your voicemail greeting.
Optional: Maintenance
- Monthly: archive unused groups and check who is in each.
