Honest note: these are rule-based email sequences. There's no generative AI, though a chat assistant can draft the emails. The agency didn't name the email software, so Mailchimp's menu names are used below. Results come from the agency about its own client.
Prerequisites
- An email platform with automation (Mailchimp is used in the steps). A customer list with each customer's last-job date.
- A way to tag contacts: after a job, when a quote is sent, or when a lead enquires.
Step-by-step setup
Step 1. Reminder at 6 months. Customers were booking every 16 months instead of the recommended 6. Build a 5-email sequence that starts 6 months after the last clean, one email every 30 days, about the benefits of regular maintenance. In Mailchimp use Automations → Build from scratch with a Tag added trigger (tag the customer when the job closes) and Time delay steps. Use a date-based trigger if you store the job date in a field.
Step 2. Win-back at 2 years. For customers not booked in 24 months, send a 5-email, more sales-led sequence, one every 30 days, with a promotional offer.
Step 3. Nurture new leads. Anyone who downloaded a guide, messaged on social, called for a quote or filled in a form without booking enters a 5-email sequence at days 1, 7, 14, 30 and 60.
Step 4. Quote follow-up. When you send a quote, add the person to a 3-email sequence at days 3, 7 and 14. Forward replies to the salesperson. The agency also alerted the salesperson when the person revisited the website. That needs web tracking, so treat it as optional.
Step 5. Stop sequences on booking. Remove people from the sequence when they book or reply, so they never get a reminder after booking.
Step 6. Measure. Track bookings per sequence each month.
Copy-paste prompt
Write a 5-email reminder sequence for {{business}}, a {{service}} company, sent once a month starting 6 months after the customer's last job.
Each email under 120 words, one clear call to action ({{booking link}}), a different angle each time (cost of neglect, seasonal risk, quick booking, customer proof, last reminder). Friendly, no pressure.Sources
