Calendly: Barking with the Bradley’s cuts meet-and-greet booking from ~5 touches to one link
A dog-walking business replaced five emails of back-and-forth with one Calendly link for meet-and-greets, saving hours every week.
- Task
- schedule required meet-and-greets without five-email calendar juggling
- Result
- booking path from ≥5 interactions → one automated Calendly message; "hours every week" saved; client feedback cites more polished/confident onboarding (qualitative)
- Tools
- Calendly (Event Types, website embed, custom intake fields, reminders, zone-based availability)
- Setup
- embed meet-and-greet Event Type on website → custom fields for address/phone/services/instructions → auto-email intake to owner → forward to assigned provider → set availability by service area so only eligible walkers appear → enable reminders
- later explore Workflows for post-visit follow-ups
Step-by-step setup guide + copy-paste prompt
Benefit: New clients book their own meet-and-greet, fill in address, pets and instructions, and get automatic reminders.
Step-by-step setup
Step 1. Create the event type. In Calendly, go to Scheduling and create a new event type called "Meet & Greet". Set the duration and location ("at your home").
Step 2. Add intake questions. In the event type editor, open invitee questions and add up to 10, such as address, phone, pets, services wanted and access instructions. Mark the essentials as required.
Step 3. Limit availability to where you work. Set availability so only real time slots show. If you have several walkers, give each their own schedule or event, by area.
Step 4. Put it on your website. Open the event type and click Add to website. Choose inline or pop-up widget, copy the code, and paste it on your site.
Step 5. Turn on reminders. Use Notifications and automations, or create a Workflow (trigger: before event → email or text) and assign it to the event type.
Step 6 (later). Add a workflow after the event that sends your services and price list.
Copy-paste prompt
Write the Calendly event description and 3 reminder messages (24h email, 2h SMS, post-visit thank-you) for a meet-and-greet with {{business}}, a dog walking/sitting company in {{area}}.
