Calendly Maxady: saves 5–10 hrs/week; Stripe paid links end unpaid "quick calls"
A coaching company saves 5–10 hours a week and stopped unpaid alumni "quick calls" by sending Stripe-paid Calendly links instead of open calendar holds.
- Task
- stop unconfirmed holds, unpaid "quick advice" calls, and coordinator hours spent on scheduling chase
- Result
- saves 5–10 hours/week; coordinator ($25/hr) redirected from scheduling to marketing/finance; unpaid post-engagement consults eliminated via pay-at-book Stripe links; Zoom links/calendar sync automated across personal/business calendars
- Tools
- Calendly (Event Types, Workflows/reminders, browser extension, Linktree embeds)
- Stripe
- Zoom
- Setup
- create Event Types (free consults, paid returning-client sessions, strategy, podcast, urgent training) each with Workflows → connect Stripe on paid one-off coaching link → share link when alumni ask for "quick call" so they pick time + pay + get Zoom → use browser extension + Linktree embeds for TikTok/podcast booking
Step-by-step setup guide + copy-paste prompt
Honest note: Calendly booking, reminders, Round Robin, and pay-at-booking are rules automation (not generative AI). They still reclaim real hours.
Prerequisites
- Calendly account (Free = 1 active event type; paid plans unlock Workflows/SMS/Round Robin/Managed Events as needed).
- Connected calendar (Google or Outlook). Optional: Zoom, HubSpot, Stripe, JotForm.
Step-by-step setup
Step 1. Create Event Types (free consult, paid returning-client, strategy, podcast). In Calendly go to Scheduling → create or open an Event type → set duration and location.
Step 2. Connect Stripe on paid one-off coaching links. In the event type editor, open invitee questions (up to 10). For teams, enable Round Robin distribution where your plan allows.
Step 3. Share the paid link when alumni ask for a quick call. Use Notifications and automations or Workflows (trigger + email/SMS) and assign them to the event type.
Step 4. Browser extension + Linktree embeds for social/podcast booking. Open the event type → Add to website (inline / pop-up widget / pop-up text) or Copy link. Connect Zoom/Stripe/HubSpot under Integrations as needed.
Step 5. Workflows for reminders on every type.
Easier: let your AI do it
If you use Claude or ChatGPT with a calendar connector, you can still keep Calendly as the client-facing booker — ask your AI only to draft event descriptions and reminder copy, then paste into Calendly. Grok: grok.com/connectors → Google Calendar (separate from Gmail).
Copy-paste prompt
Write a Calendly event description and 3 reminder messages (24h email, 2h SMS, post-meeting thank-you) for {{business}}.
