Starter prompt from the guide (use it as a base):
Write a short, warm email to past customers of an event-equipment rental business ([EQUIPMENT]) asking if they plan to rent again for their yearly [EVENT TYPE] in about three months. Mention that we remember their last event ([LAST EVENT]) and link to [QUOTE REQUEST FORM]. Under 100 words, one button, no pressure, include an unsubscribe line.

> Cost: Paid. ActiveCampaign runs from $15 a month (Starter, 1,000 contacts, billed annually), but most steps here need Plus at $49 a month or higher; there is no free plan, only a 14-day trial.
Honest note: Rules, not AI. A vendor customer story (ActiveCampaign), figures vendor-reported. "Client intake 3x faster" and "contacts up 480%" have no baseline or definition; the page separately credits an 8 to 10% increase in total company revenue. The reusable part is simple and well described: a follow-up task after every quote and an annual rebook email. I could not verify an exact trigger for tagging repeat customers or a "wait until nine months after the event" option (see Step 3). Consent flag: the rebook email is marketing to past customers; include an unsubscribe link and honor opt-outs.
Prerequisites
- ActiveCampaign Plus or higher with the CRM (Deals) turned on.
- A deal pipeline with stages such as Quote requested, Quote sent, Booked, Event done.
- A date custom field for the event date (optional) and a short rebook email.
Step-by-step setup
Step 1. Add a stage for quotes sent. In Deals create or edit the pipeline so a deal moves to a *Quote sent* stage (a second pipeline, as in the story, also works). See ActiveCampaign's "Deal stages" help.
Step 2. Create the follow-up task automatically. Click Automations → Create an automation → Start from scratch → Add a start trigger → Deal stage changes, choose the pipeline and the stage (from any stage to *Quote sent*). Add an Add a deal task action: set the title (for example "Call about your quote"), the assignee as the deal owner, a due date after a Wait period, and in Affects choose the deal that triggered the automation. Name and turn on the automation.
Step 3. Tag repeat customers and plan the annual email. Add a second automation that starts when a deal reaches your *Booked* or *Won* stage and adds a tag such as *Repeat customer* if they already have a past-event tag (If/Else on the tag). Then add a Wait (a set period such as 270 days, or wait until a custom date field matches) followed by an email asking, "Are you planning your next event?" with a button to your quote request form. I did not verify whether Wait can count forward from a date field, so use a set period if the date option does not offer it.
Step 4. Track the source. Use ActiveCampaign's site tracking (Website → Site Tracking → Enable, paste the code in your site footer) so form fills show the pages visited, and use your own UTM links to record the source.
Step 5. Handle chat in one place (optional). The story used ActiveCampaign Conversations for chat and answers on a phone; I could not verify how Conversations is enabled on each plan, so check ActiveCampaign help before relying on it.
Easier: let your AI do it. ActiveCampaign publishes a remote MCP address (Settings (gear) → Developer → Remote MCP URL) that you can add to Claude (Settings → Connectors → Browse Connectors → ActiveCampaign → paste the URL → approve). I did not verify which actions it can take, so keep approval on for every write. ActiveCampaign's built-in Active Intelligence can also draft an automation from a typed prompt, which you review and then click Activate.
What success looks like
A test quote creates a task for the right person with a due date, a test contact tagged as a past customer receives the rebook email, and no quote sits without a follow-up. Compare your quote-to-booking rate before and after.
Common issues & fixes
- No task appears: the trigger needs the exact from and to stages, and the action's Affects must be the triggering deal.
- Wrong person gets the task: set the assignee as the deal owner.
- Rebook email arrives too early: your wait started at the wrong stage; start from the event-done stage.
Optional: Maintenance
- Monthly: review overdue tasks.
- Yearly: check the rebook email timing against your seasons.
