Honest note: this is rules automation (a booking page, calendar sync and reminders), not AI. The result comes from a vendor-published story on a case-study site, so treat "about 8 prospects worth $10,000+ in a week" as potential pipeline, not revenue. The tool is what removes the scheduling emails; the pipeline depends on how many inquiries you already get.
Prerequisites
- A Setmore account (Free is enough for steps 1–3 and 5–6; Pro is needed for step 4, two-way Google Calendar sync).
- A Google account whose calendar you already use.
- A 1–2 sentence description of your free consultation call.
- Menu names in Setmore's help pages differ slightly between articles (for example Booking preferences vs Booking Policies). If you don't see a menu, use the search box in Setmore's Support Center.
Step-by-step setup
Step 1. Create your consultation service. In Setmore (web app) go to Settings → Services, click + Add service, enter a name (for example "Free 20-minute consultation"), description and duration, then assign yourself as the team member who provides it. A service is not bookable until a team member is assigned. Click Save. Use More options if you want a buffer time between calls.
Step 2. Set your availability and get your link. Go to Settings → Booking Page. In Overview you'll see your Booking Page URL. Click the pencil icon, type something memorable (your business name, for example), click Save, then Yes Confirm. To share a link that skips straight to the consultation, open EasyShare (under the Settings cog) and click Copy Link on that service's card.
Step 3. Ask the questions you need before the call. Go to Settings → Booking Page → Booking preferences, scroll to Contact fields, click + Add field, type a label (for example "What project do you want help with?") and Save. Toggle Required on for the ones you must have. The answers appear in your customer intake form under Additional information.
Step 4. Turn on two-way Google Calendar sync (Pro). First check that Google Calendar and Setmore use the same time zone (Google: gear icon → Settings → General; Setmore: Settings → Your brand, pencil beside opening hours). Then, with Google open in another tab, go to Settings → Your team, select your profile, choose Calendar, click Connect next to Google Calendar, click Allow, pick the calendar and click Activate Sync. New bookings appear in Google Calendar, and Google events block your Setmore availability.
Step 5. Turn on reminders and phone alerts. Go to Settings → Notifications → Customer Notifications, tick the Updates boxes (booked, edited, canceled), then in Appointment reminders flip Email on and choose how far ahead. Switch on Allow online rescheduling and Allow online cancelations so prospects can move a call without emailing you. On your phone, open the Setmore app and go to Account → Notifications → Push Notifications → Push Reminders, turn it on, and choose a Remind me before time (5–120 minutes).
Step 6. Send every inquiry to the link and review weekly. Put the link in your email signature, website Book now button, LinkedIn and auto-reply. Once a week, in the web app go to Settings → Booking Page → Reports, pick a date range, click Generate, then Export as .XLS to count consultations booked. Reports are web-only, not in the mobile app.
Easier: let your AI do it
There is no official Setmore connector for Claude, ChatGPT or Grok (Setmore's API is Pro-only and needs approval), so the clicking above stays manual. Use an AI chat only for the words: the Copy-paste prompt below drafts the service description, intake questions and a reply to inquiries that points to your link.
What success looks like
A prospect clicks your link, picks a time, answers your intake questions, and gets a confirmation. You get a phone alert, and the call is on your Google Calendar with no emails exchanged. After a week you can count how many consultations were booked (the case's owner reported about 8).
Common issues & fixes
- Google events don't block times: you're on Free (one-way sync only) or the two-way sync wasn't activated. Re-check Settings → Your team → your profile → Calendar.
- Times look wrong: the Google and Setmore time zones don't match (Step 4).
- Nobody can book the service: you didn't assign a team member to it (Step 1).
- Text reminders missing: text reminders are Pro only; email reminders are free.
- Updates take a few minutes to show after dragging an appointment in Google Calendar.
Optional: Maintenance
- Monthly: skim Reports, and edit your intake questions if prospects keep giving vague answers.
- Re-copy your link into profiles if you ever change the URL.
Copy-paste prompt
I run a [ghostwriting / editing / branding] consultancy for [TYPE OF CLIENT]. I'm setting up a free [20-minute] consultation call booking page in Setmore.
Write:
1. A 2-sentence service description for the booking page: who the call is for, what we cover, and what to bring.
2. Three short intake questions (one line each) that tell me whether the prospect is a fit: project type, timeline, budget range.
3. A reply I can paste when someone emails me an inquiry: friendly, under 80 words, with the placeholder [BOOKING LINK] and no promises about price or results.
Tone: warm, professional, no hype. Don't invent services or credentials.Sources
