Shift swaps with manager approval

Healthy fast-casual restaurant · weekly schedule from 1 hour to 20–25 minutes

CostPaid: Homebase Essentials $30/location/mo and upHomebase pricing (joinhomebase.com/pricing, checked 2026-10-17). Basic is $0 for 1 location and up to 10 employees (basic scheduling and time tracking). Essentials is $30 per location per month, Plus $70, All-in-One $120, all with unlimited employees. Payroll is an add-on to any plan: $49 per month base plus $6 per employee paid ($29 per month for teams up to 5); the page currently advertises a limited-time 6 months of payroll and Plus free when you add payroll, so confirm what you would pay after that. 14-day free trial of All-in-One with no card, then you drop to Basic if you qualify. Plan limits that matter here: managing time-off requests and PTO controls, departments, and the Scheduling Assistant are Plus; the mobile time clock with geofence is Essentials or higher. Figures in the story are vendor-published.

Task
build schedules faster, prove break compliance, and stop callouts from turning into scrambles
Result
weekly scheduling from about 1 hour to 20–25 minutes; four stores run the same setup; owner checks one number weekly (labor cost against sales)
Tools
  • Homebase (Scheduling with copy-forward and availability, tablet Time Clock, break tracking against San Francisco rules, time-card edit notes and history, missed clock-out alerts, shift trade/cover requests with manager approval, group chats per store)
Setup
  1. copy last week's schedule forward, adjust for availability, and publish → staff clock in and out on an office tablet
  2. breaks are tracked against local rules → any time-card correction requires a note, and the edit history keeps the record
  3. forgotten clock-outs are caught → on a callout, team members ask each other for coverage and propose a swap, which a manager approves → each store gets front-of-house, back-of-house and full-team chats → weekly, compare labor cost to sales for every store

Step-by-step setup guide

> Cost: Paid. Homebase plans run $30 (Essentials), $70 (Plus) or $120 (All-in-One) per location per month, and payroll is an add-on at $49 a month plus $6 per employee paid ($29 for teams up to 5). Basic is free only for one location and up to 10 employees.

Honest note: Rules, not AI. A vendor customer story (Homebase); figures are vendor-reported. The one measured result is the owner's estimate that weekly scheduling dropped from about an hour to 20 to 25 minutes. The page says breaks are tracked against local rules and that the owner checks labor cost against sales weekly but gives no numbers for either. Labor-law flag: San Francisco and several other cities have fair-workweek rules (SF's apply to larger "formula retail" and similar employers) that can require advance notice of schedules and pay for late changes; check whether yours applies. Meal and rest break rules differ by state; Homebase can track breaks and award missed-break pay in California, but you must confirm what is owed.

Prerequisites

  • Homebase Essentials or higher (the tablet and mobile time clocks and trades need a paid plan; Homebase: Basic is free for 1 location and up to 10 employees; Essentials $30, Plus $70, All-in-One $120 per location per month; payroll is an add-on at $49/month plus $6 per employee paid.).
  • A tablet for the kitchen or office to use as the time clock.
  • A named person who approves swaps in each store.

Step-by-step setup

Step 1. Copy the week forward. At Shifts → Schedule open last week, click Tools → Copy Week, choose the target week, edit for availability, and click Publish (pick who is notified). To save a standard week click Tools → Manage Templates, name it, Create, and later Apply it.

Step 2. Staff clock in on a tablet. Install the Homebase tablet time clock on an iOS or Android tablet (not Kindle Fire) and turn on the clocks you use under Settings → Time Clock Options. Staff sign in with a PIN (they find theirs in the app under More, at the bottom of the menu on iPhone).

Step 3. Track breaks and fix time cards with a note. Under Settings → Time Tracking → Breaks & Compliance set your break rules (and missed-break pay for California locations). When a card needs a correction open it in Timesheets (Pay period review or Daily review), edit the hours, and add a manager note; Homebase keeps an edit history of who changed what. A 21-hour day usually means a missed clock-out, which shows under Needs review.

Step 4. Cover requests with approval. Employees open the app → Schedule → My Shifts → Find Cover → Trade Shift or Request Cover → pick teammates → Submit; the teammate accepts, then the manager gives final approval. Make sure the approving manager has the team permission to approve trades or covers.

Step 5. Chats and the weekly number. In the app Messages → new-message icon → location → create a group for front of house, back of house and the whole team for each store. Weekly, open Operations → Reports (Labor Cost Summary) and compare labor to sales for each store.

Homebase has no official connector that I could verify (a third-party MCP server exists, but it is not Homebase's own), so the steps below are done by hand in Homebase.

What success looks like

A new week is a copy plus a few edits, every time-card change has a note, and swaps arrive as approvals instead of group-chat scrambles. Time your own scheduling for a month before and after.

Common issues & fixes

  • Employees cannot find a swap partner: only people not already scheduled during that shift appear.
  • Missed clock-outs keep recurring: turn on automatic clock-out at end of shift (listed on the pricing page for higher plans) or coach staff; fix each before payroll.
  • Managers cannot approve: check team permissions.

Optional: Maintenance

  • Weekly: review labor versus sales per store.
  • Monthly: archive former employees.
