> Cost: Paid. Weave starts at $199 a month (Base). Reminders, forms and recall sit in the Coordinate bundle ($149) and reviews in the Attract bundle ($149). Quoted extras are called out below. There is no free trial of the full platform.
Honest note: This one is real AI (a voice assistant). It is early access with quoted pricing, works with listed practice systems only, and the dollar figure is Weave's estimate from exam prices, not billed revenue. A person still confirms each appointment.
Prerequisites
- A Weave account with your phone number and practice management system already connected (Weave onboards you).
- Weave admin access (Settings pages need an admin, and some payments pages need Super Admin or Payment Admin).
Step-by-step setup
Step 1. Add the AI Receptionist to your call routing. In Weave go to Settings → Phone → Call Routes, open the route you want (for example After Hours), click + and add AI Voice Receptionist. Weave requires a fallback step after it (voicemail or a person) so callers are never stuck. Set what it can say under Settings → AI Settings → AI Receptionist (business preferences such as hours, services, FAQs). The AI Receptionist is early access, works with specific practice systems (Open Dental, Dentrix and Eaglesoft are listed), and needs Weave to switch it on.
Step 2. Let it request appointments. Follow Weave's AI Receptionist scheduling article to choose which appointment types the AI may offer or request; always test with a call to yourself before real patients hear it.
What success looks like
Staff open the day with a list of callers instead of a full voicemail box.
Common issues & fixes
- Messages do not trigger: for connected offices, open Settings → Data Sync Settings and map appointment statuses and recall types first. Weave says reminders cannot trigger until that is done.
- Feature missing from your menu: it may not be in your bundle. Weave lists availability per bundle on its Auto-Message Types page.
- Callers cannot reach a person: make sure the fallback step after the AI goes to voicemail or a staff phone.
Optional: Maintenance
- Weekly: read the call summaries and fix any wrong answers in the AI settings.
