Honest note: the numbers (no-shows down 40%, 150 new patients booked online, $227,484 in production, 50 new five-star Google reviews) come from the vendor's own case study, not an independent source. The click paths below come from Adit's public help center, not from the case study, so the setup is verified even though the results are vendor-reported.
Prerequisites
- An Adit account for your office.
- Practice software that Adit integrates with (the case study used Eaglesoft). For cloud-based software, the Adit for Chrome extension must run on every workstation, and the first data sync can take 5-7 days.
- Status mappings completed in Adit (reminders will not send without them).
- A Google Business Profile (or other review page) connected in the Pozative module.
Step-by-step setup
Step 1. Turn on online booking that writes into your schedule. In Adit, open Online Scheduling. Set Advanced Online Scheduling to Yes and pick New Patients, Existing Patients or both. Set Write Appointments into EHR to Yes. Click + Create Service, fill in the service name, patient type, locations, duration, appointment type and treatment codes, then click Save. Turn on the operatories and providers patients may book. Under business hours, click + Add Business Hours, enable your open days, enter hours and press Save. Set the Calendar Buffer (for example 24 hours if you do not take same-day bookings).
Step 2. Create and test a booking link. Go to Online Scheduling > Booking Links, click Add Booking Link, choose which locations and services it shows, add your logo and colors, then Save. Open the link, book a test appointment, and check it appears in your practice software before you share the link on your website and Google profile.
Step 3. Add automatic reminders. Open the Engage module, go to Auto-Reminders > Appointment Reminders, and click +Add. Name it (for example "1 Week - Unconfirmed"), choose Send Via SMS, Email or Voice, choose which appointment status receives it, set When to Send and Time of Day, then save. Add a second reminder closer to the visit.
Step 4. Send review requests automatically. Open the Pozative module, click Preferences in the left menu, scroll to EHR Integration, and choose Automatically in the dropdown. It saves on its own. Requests then go out when an appointment is marked completed in your practice software. Under Review Request Flow you can choose Flow A (one text with a link, usually more reviews) or Flow B (rating first).
What success looks like
- A test patient books online and the visit appears in your practice schedule without anyone typing it in.
- Reminder texts go out on the schedule you chose, and confirmation calls drop.
- After completed visits, patients get a review link, and new Google reviews appear over the following weeks.
- The case study reports no-shows down 40%. Your result will vary.
Common issues & fixes
- A reminder did not go out: in Engage > Auto-Reminders > Appointment Reminders check the reminder toggle is on (orange), reopen it to check its settings, then check your status mappings and the appointment logs in the Morning Huddle or the Insight page.
- Appointments or changes arrive late: the Chrome extension is probably missing on a workstation. Install it on every computer. Deleting an appointment or creating a patient with a common name will not sync without it.
- Review requests do not send: check Pozative Preferences > EHR Integration is set to Automatically and that the visit was marked completed in your practice software.
- Spanish reminders: the patient's preferred language must be set in your practice software.
