Beauty salon · no-shows from 25% to 5%

Costn8n + Twilio (WhatsApp/SMS) + emailOne salon client of an automation builder who sells a reminder kit: no-shows 25% → 5%, about €2,000/month recovered, 3 hours a week of calls saved. Needs n8n. The post shows structure and logic rather than node-by-node clicks. Rule-based, not AI. For a no-code option see the Etisia salon guide.

Task
cut no-shows and stop staff phoning clients to remind them
Result
no-shows 25% → 5%; ~€2,000/month recovered; 3 hrs/week of reminder calls saved
Tools
  • n8n
  • Twilio (WhatsApp/SMS)
  • email via SMTP/SendGrid/Gmail
  • booking system webhooks (Calendly, Acuity or Google Calendar)
Setup
  1. trigger when a booking is created (or poll every 15 minutes) → timing logic: 24h reminder asks for confirmation with a reschedule link, 2h reminder gives directions → send on the client's preferred channel with SMS fallback → a "Confirmed" reply/link updates the status sheet/CRM → unconfirmed clients flagged for a manual call and repeat no-showers get earlier reminders

Step-by-step setup guide + copy-paste prompt

Honest note: rule-based reminder automation. There's no generative AI. The results are one client of the person who wrote the post, who also sells a reminder kit. If you don't want to build in n8n, use a ready reminder tool (see the Google Calendar SMS guide).

Prerequisites

  • A booking system (Calendly, Acuity or Google Calendar) that can send webhooks, or one n8n can poll.
  • n8n, a Twilio account (WhatsApp and SMS), and an email account (SMTP, SendGrid or Gmail).
  • Clients' consent for messages. For WhatsApp, business-initiated messages generally need pre-approved templates.

Step-by-step setup

Step 1. Start from the booking. Use a Webhook (fires when an appointment is created) or a Schedule Trigger every 15 minutes that fetches upcoming appointments. Publish the workflow.

Step 2. Work out timing. Use an IF or Switch node on hours until the appointment: 24 hours gets a friendly confirm-or-reschedule message; 2 hours gets "See you soon" plus directions and parking. Optional 30 minutes for clients who often miss.

Step 3. Pick the channel. Branch: if the client has WhatsApp, send WhatsApp (Twilio); else if they have an email, send email; else send SMS (Twilio) as a fallback.

Step 4. Track confirmations. When a client replies "Confirmed" or taps a link, use a webhook to update the booking's status in your sheet or CRM. List unconfirmed ones for staff to phone.

Step 5. Follow up. Offer an easy reschedule link. Give repeat no-showers earlier and extra reminders.

Step 6. Test with your own number first, then switch on for all clients.
